AI & Bookkeeping Needs Human in the Loop
This seems straightforward, yet the execution isn't.
First: AI can do your bookkeeping for you… yes the bookkeeper just said that.
I advocate for AI Accounting Automation if you currently lack a process: essentially, 1 is greater than -10. Now where does the bookkeeper play into this? Well, at a minimum, you need a human monitoring your AI accounting/finance agent to ensure the bookkeeping is functioning appropriately & your business is on time and accurate with federal, state, local, payroll, and sales tax. Optimally you have a trained professional ensuring revenue recognition is happening, reconciliation is complete, period close is on time, reporting is accurate, and you as the business owner understand the financial story of your business. In this article, we will explore the human in the loop with accounting as well as how to get the most out of QuickBooks Online & Claude.
AI & Bookkeeping
It's not uncommon that the first thing a newly acquainted professional will bring up to me is, “Are you worried about AI replacing you?” Or I might ask a young entrepreneur how he plans to manage his car detailing business’s books and accounting. They might say something along the lines of, “Claude & Google Sheets bro”. I get it, it sounds cool, AI & Google Sheets. This effectively will keep track of your books and might work well with getting the appropriate deductions but, this system doesn’t scale. While this DIY approach works for a solo founder business starting out, it quickly becomes a liability as you grow and need any sort of reporting for informed decision making.
What does scale is an AI enhanced tech stack.
Claude & QuickBooks Online
A scalable system has to have room to grow and native systems. I believe the best starting accounting tech stack is Claude Desktop and QuickBooks Online. Caveat: depending on the size of the business there may be the need for dedicated software for payroll, billing & invoicing, spend management, etc.
Taking the example of AI and general bookkeeping the following is a brief overview of how to get most out of Claude and QBO.
First, you will need to have a paid QBO account for your business & paid Claude Desktop (downloaded to your desktop).
Now in Claude, you will add Connectors found under Customize near the top of the navigation. Add your daily used apps. I do recommend finding your apps the hard way, scrolling through all Connectors because you might be surprised what you will find. Next add Plugins, these are found next to Connectors. Add relevant Plugin skills.
Now, go to Projects on the left navigation bar and create an Accounting and Finance project and give it an appropriate goal, such as, “Help me with staying on top of my weekly categorizing, quarterly tax filing, sales tax, inventory, payroll, reporting, etc.” If you have specific instructions or context in mind, add them.
I recommend adding the following to the knowledge base: prior financial statements, your chart of accounts, engagement templates — anything you'd otherwise re-explain or that is useful.
Don’t forget to add to this project memory “Answer all things according to U.S. GAAP and IRS Rules.”
Then chat within the project to co-create the needs of what you seek out of this project. Lastly go, through all the possible tool permissions for QuickBooks and see what would be useful for you and your business. There are something like 72 different commands and tools Claude can do with the QBO connector… woah.
Now that it’s set up, let’s go over the Human in the Loop piece.
The Real Bottleneck
What AI won’t tell you is what your real bottleneck is. A bottleneck is defined as a point of congestion or blockage. From a bookkeeping perspective, let me tell you about a few bottlenecks:
Chart of Accounts Structure
If your chart of accounts doesn't actually allow for accurate reporting that tells the story of your business’s money model, by service line, by job, by location, no amount of AI or automation categorization will make your reports mean much of anything.
Job Costing Discipline
Without tracking revenue and cost at the job or project level, you're working off blended averages that hide your real winners and losers. AI can log a transaction in seconds; it still needs a structure built to tell it which job that transaction belongs to.
Monthly Closes
A close isn't just "did the bank balance match." Reconciled isn't the same as accurate — a month can tie out perfectly and still be hiding a miscoded expense or duplicate charges. AI can automate the matching. It still takes a human rhythm to actually close the period and catch what doesn't belong. The last thing you need is lingering unreconciled journal entries from 3 years ago that 3 years later you now have to attempt to reconcile.
Budgeting and Cash Flow Management
A report is only useful measured against a plan. AI can hand you a beautiful P&L and analyze it in three seconds — but if there's no budget or cash flow plan behind it, or story, you're just staring at numbers and random advice with no true north star.
Accurate financial reporting
Everything above feeds into this one. Speed up bad categorization, unclear entries, and you don't get better numbers faster — you get wrong numbers faster.
